Senior Event Manager

POSITION: Senior Event Manager
DEPARTMENT: Events
REPORTS TO:  Assistant General Manager
FLSA STATUS: Salaried, Exempt

Summary
SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for a Senior Event Manager at SMG/U.S. Bank Stadium. The Senior Event Manager provides professional client services support in the planning, organization, and management of events within the facility. The Senior Event Manager monitors the logistics of these events and all event coordination tasks after events are booked through their conclusion, by performing personally or through Event Department staff members the following duties:

 

Essential Duties and Responsibilities

  • Supervises Event Manager(s) and Coordinator(s) while overseeing all aspects of facility operations related to events.
  • Assigns event workload to Event Manager(s) and Coordinator(s).
  • Meets with client groups to plan and organize assigned meetings and/or events.
  • Coordinates activities with the various service contractors (Food & Beverage, Security, etc.) and City officials (Fire Inspector, Zoning, etc.) for assigned meetings and/or events.
  • Guides clients in preparation of events by interpreting and explaining contract provisions, policies and procedures.
  • Keeps clients informed as to status of deadline schedules, including but not limited to floor plan submissions, meeting room set-up specifications, insurance requirements and other relevant details.
  • Prepares cost estimates and monitors final billing.
  • Provides clear, concise, and timely Event Work Orders to all SMG departments and stadium service contractors.
  • Assists in scheduling operational set-ups to provide equipment or service needs.
  • Monitors and supervises facility set-up when necessary.
  • Assists in training and development of Event Manager(s) and Coordinator(s).
  • Serves as primary liaison between clients and facility departments.
  • Monitors in-house events, maintaining close contact with clients and facility staff to ensure successful events.  Follows-up on all client requests, concerns, and problems.
  • Attends appropriate planning, organization and other event and facility meetings in support of facility operations.
  • Serves as manager on duty as required.

Minimum Education and/or Experience

  • Bachelor’s degree from a four-year college or university
  • 3-4 years related experience and/or training or equivalent combination of education and experience
  • Working knowledge of the principles of facility management, services and equipment for a similar facility
  • NFL game experience

Skills and Abilities

  • Demonstrate knowledge in industry terminology, facility capabilities, operational procedures, event coordination and event-related services.
  • Demonstrate the principles and techniques of supervision, training, budgeting and other administrative duties
  • Handle conflict, make common sense decisions and exercise proper action during high tension and stressful situations
  • Good written and verbal skills.
  • Ability to prioritize multiple projects.
  • Demonstrate problem-solving and communication skills.
  • Excellent organizational, planning and problem-solving skills.
  • Supervisory experience preferred.
  • Professional presentation, appearance and work ethic.

Computer Skills
To perform this job successfully, an individual should have knowledge using:

  • Microsoft Office including Word, Excel, PowerPoint and Outlook
  • AutoCAD LT
  • Event Scheduling software like VenueOps
  • Operations/Event Management software like 24/7 Software

Other Qualifications

  • Ability to work under limited supervision and to interact with all levels of staff including management
  • Ability to work long and irregular hours that may vary due to functions and may include day, evening, weekends and holidays

Supervisory Responsibilities
Directly supervises the Events Department staff. The Senior Event manager carries out supervisory responsibilities in accordance with SMG policies and applicable laws.  Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding; disciplining employees in conjunction with Human Resources; addressing complaints and resolving problems.

POSITION: Operations Coordinator
DEPARTMENT: Operations
REPORTS TO:  Assistant Director of Operations
FLSA STATUS: Salaried, Exempt

Summary
SMG, the leader in privately managed public assembly facilities, has an excellent and immediate opening for the Operations Coordinator for SMG/U.S. Bank Stadium. The Operations Coordinator is responsible for the event set-up of all areas of U.S. Bank Stadium, in conjunction with the Operations Crew.

Essential Duties and Responsibilities

  • Coordinating the setting up and striking all U.S. Bank Stadium events including, but not limited to, NFL Football games, NCAA basketball, NCAA and High School baseball, concerts, exhibition shows, conventions, etc. This includes building stages, riser platforms, portable bleachers, field covering, steps, railing installation, field goal posts, foul poles, fencing, soccer nets, portable dugouts, bases as well as any other event related set-up needs in and adjacent to the stadium​​​​​​
  • Coordination of conversion of Club and field areas from game day set to meetings, banquets, galas, etc. including table and chair set-up / striking
  • Working with both management and crew directly as well as being a liaison between them​​​​​​
  • Checking off on completed set-ups and entering the data into a tracking system​​​​​​
  • Assisting with hiring, training, scheduling of staff, as well as, direct supervision of the crew

Supervisory Responsibilities

  • Supervision of the Operations crew

Qualifications

Skills and Abilities

  • Follow and give verbal and written instructions and communicate effectively with others
  • Maintain an effective working relationship with clients, employees, exhibitors, patrons, and others while working
  • Ability to work flexible hours based on event schedule including evenings, weekends, and holidays
  • Physical ability to perform tasks that may require prolonged standing, stooping, lifting, and walking. Must be able to occasionally lift and/or move up to 50 pounds
  • Ability to work inside or outside environments as necessary
  • Willingness to learn new skills

Computer Skills

  • Proficiency with general office PC applications
